protecting stored files

hi I have small bus server 2003, I create and store lots of files on the sever in the following way:

I set up a project in a database, this has a unique i/d number each project has a folder on the server and the folder has the unique project id as the folder name. these folders are all stored in a single shared drive.  each project folder has mulitple files including .jpg .txt .mpg .exel  .html etc.. etc..
it all works well and this is backed up every night. however i now want to employ staff and let them have access to the projects folders, I can set access levels and passwords etc.. but i can't see how this would protect my files from either a silly accident or a member of staff with an axe to grind.

the staff that have access will be able to create and edit new files and have full access to the folders. how would i stop somone from causing chaos?
am i able to monitor all files that are created or changed?
am i able to see all deleted files and have the ability to un-delete them?

my worry is in the long term, if somone starts messing with files randomly and over a period of time.

some of my data is valuble to my customers, can anyone advise the best way to protect my self?
